bookingbility.com collects and uses the information you provide to us. When you make a Booking for Accommodation for your Stay, we ask for basic data such as your first name, last name, and email address. Depending on the Stay Booking, we may also ask for your home address, phone number, payment details, date of birth, the names of any other persons traveling with you, and any preferences or needs (e.g., dietary preferences, mobility limitations, etc.) for your Stay.

If you want to contact our customer service team or reach out to us through other means (e.g., on social media or by communicating through us with the booked Accommodation), we will also collect information via these channels. Guests may also be asked to write a review to help other travelers find the accommodation they are looking for. We will collect information from you contained in your reviews, including the display name and avatar if you choose one.

There may be other instances where you need to provide us with information. For example, if you are browsing using your mobile device, you can choose to authorize bookingbility.com to see your current location or to access your contacts to receive the best experience and service possible (e.g., to see our city guides, restaurants, or attractions near your location, or other recommendations). You can also create a user account, which allows you to save your personalized settings, upload photos, review past bookings, organize and manage future bookings, or benefit from other features available only to account holders (e.g., incentives or other benefits we may offer).

Personal data you provide about others

You might not be booking a Stay just for yourself but also for other people traveling with you or on behalf of someone else. In such cases, you will need to provide data about them during the booking process. If you hold an account, you can also create an address book to simplify and manage future bookings.

We want to specify that it is your responsibility to ensure that the people you have provided data about are aware of this and have understood and accepted how bookingbility.com uses their information (as described in this Privacy Policy).

Personal data we collect automatically

Even if you do not complete a Stay Booking, when you visit our website, we collect certain information automatically. For example, your IP address, the date and time you accessed our service, the hardware, software, or browser you use, and information about your computer’s operating system and language settings. We also collect information about your clicks and the pages that were shown to you.

When you make a Stay Booking, our system records the means and website through which you made the booking or accessed the bookingbility.com site.

Personal data we receive from other sources

Besides the information you provide to us directly, we may also receive information through different sources. Additionally, we rely on external providers to manage payments between users and the Accommodation: these service providers share payment information with us to help manage and process your Stay Booking, ensuring you have the best possible experience. Even though you may be asked for your credit card information and security codes during the Stay Booking, we inform you that these data will be processed directly by the external Payment Manager (Stripe), so we do not keep records of data that could compromise your monetary transactions.

Another example is the messaging services integrated into our platform that allow you to contact us and the Accommodation you booked for issues regarding your booking. When you use this feature, we receive data about the activities (e.g., the content of the message exchanged with the Accommodation). When you link your bookingbility.com account to your social media account, personal data is shared with bookingbility.com by the social media service provider, but only if you have given your consent.

The Accommodation shares information about you with bookingbility.com, for example, when you have questions about a current Stay Booking, or in case of disputes about a booking (although we hope this never happens).

Details on the Processing of Personal Data

Access to Third-Party Accounts

This type of service allows this Application to retrieve data from your accounts on third-party services and perform actions with them. These services are not activated automatically but require the User’s express authorization.

Access to the Facebook Account (This Application) This service allows this Application to connect with the User's account on the social network Facebook, provided by Facebook, Inc.

Permissions requested: Email, Manage Pages, and Insights.

Contacting the User

Mailing List or Newsletter (This Application) By registering for the mailing list or newsletter, the User’s email address is automatically added to a contact list that may receive email messages containing information of a commercial or promotional nature related to this Application. The User's email address might also be added to this list as a result of signing up to this Application or after making a purchase.

Personal Data collected: email.

Managing User Databases (This Application)

This type of service allows the Owner to build user profiles starting from an email address, the name, or any other information that the User provides to this Application, as well as to track the User's activities through statistical features. This Personal Data may also be matched with publicly available information about the User (such as social network profiles) and used to build private profiles that the Owner can view and use to improve this Application. Some of these services may also enable the scheduled sending of messages to the User, such as emails based on specific actions performed on this Application.

Payment Management

Payment management services allow this Application to process payments by credit card, bank transfer, or other means. The data used for payment are acquired directly by the requested payment service provider without being handled in any way by this Application. Some of these services may also enable the sending of timed messages to the User, such as emails containing invoices or notifications concerning the payment.

Stripe Stripe is a payment service provided by Stripe, Inc., which allows the User to make online payments.

Managing Support and Contact Requests (This Application)

This type of service allows this Application to manage support and contact requests received via email or through other tools, such as various contact forms. The Personal Data processed depends on the information provided by the User within the messages and the tool used for communication (e.g., the email address).

Managing Addresses and Sending Email Messages

This type of service makes it possible to manage a database of email contacts, phone contacts, or any other contact information to communicate with the User. These services may also enable the collection of data regarding the date and time the User views the messages, as well as the User’s interaction with them, such as information about clicks on links included in the messages.

Mailchimp Mailchimp is an address management and email message sending service provided by Mailchimp.

Cloud, Hosting, and Backend Infrastructure

This type of service has the function of hosting data and files that enable this Application to function, allow its distribution, and provide a ready-to-use infrastructure to deliver specific features of this Application. Some of these services work through geographically distributed servers, making it difficult to determine the actual location where Personal Data are stored.

Aruba Cloud Aruba Cloud is a cloud service provided by Aruba SpA.

This type of service allows interactions with social networks or other external platforms directly from the pages of this Application. The interactions and information acquired by this Application are always subject to the User’s privacy settings for each social network. If a service for interaction with social networks is installed, it may still collect traffic data for the pages where the service is installed, even when Users do not use it.

Google ReCaptcha The Google ReCaptcha system allows for the prevention of spam on the contact form.

Infrastructure Monitoring (This Application)

This type of service allows this Application to monitor the use and behavior of its components to improve performance and functionality, maintenance, or troubleshooting. The Personal Data processed depends on the characteristics and mode of implementation of these services, which by their nature filter the activity of this Application.

Registration and Authentication

By registering or authenticating, the User allows the Application to identify them and give them access to dedicated services. Depending on what is indicated below, third parties may provide registration and authentication services. In this case, this Application will be able to access some Data stored by the third-party service used for registration or identification.

Direct Registration (This Application) The User registers by filling out the registration form and providing Personal Data directly to this Application.

The services contained in this section enable the Owner to monitor and analyze web traffic data and serve to keep track of User behavior.

Google Analytics with Anonymized IP (Google Inc.) Google Analytics is a web analysis service provided by Google Inc. ("Google"). Google uses the Personal Data collected to track and examine the use of this Application, compile reports, and share them with other services developed by Google. Google may use the Personal Data to contextualize and personalize the ads of its advertising network. This integration of Google Analytics anonymizes your IP address. The anonymization works by shortening within the borders of the member states of the European Union or in other countries adhering to the agreement on the European Economic Area the IP address of Users. Only in exceptional cases will the full IP address be sent to Google's servers and shortened within the USA.

Methods and Place of Data Processing

The Data Controller adopts appropriate security measures to prevent unauthorized access, disclosure, modification, or destruction of Personal Data.

Processing is carried out using IT and/or telematic tools, with organizational methods and logic strictly related to the purposes indicated. Besides the Data Controller, in some cases, other parties involved in the organization of this Application (administrative, sales, marketing staff, legal advisors, system administrators) or external parties (such as third-party technical service providers, mail carriers, hosting providers, IT companies, communication agencies) may also have access to the Data, if necessary, appointed as Data Processors by the Data Controller. The updated list of Data Processors can always be requested from the Data Controller.

The information we collect about you is used for various purposes. Here’s what your data is used for:

A. Booking Accommodation: First and foremost, we use your personal data to complete and manage your online Accommodation Booking, which is the primary purpose of our business!

B. Customer Assistance: Through our offices, we provide customer support. Sharing your relevant data, such as booking details or account information, with our customer support allows us to assist you when you need it, for example, helping you find the right Accommodation or answering questions you may have about your Accommodation Booking or other topics.

C. Account: Users of bookingbility.com can create a user account on our site. We use the information you provide to manage your account, allowing you to have many useful features. You can manage your Accommodation Bookings, take advantage of special offers, make Accommodation Bookings easily, and manage your personal settings. Choosing personal settings can allow you to manage and share lists, see previously searched Travel Services, share photos, check other travel-related information, and view the reviews you have submitted. If you wish, you can share some information from your user account by creating a public profile associated with your real name or a username of your choice. Users with a bookingbility.com account can save contact details, manage travel bookings, and create an address book to facilitate future bookings.

D. Online Groups or Forums: We may allow users with an account to join online groups or forums and interact with other users.

E. Marketing Activities: We also use your information for marketing activities, including:

Using your information to send you periodic news about travel-related products and services. You can unsubscribe from marketing communications at any time easily by clicking the "Unsubscribe" link in each newsletter or by disabling this service directly from your account area.

Based on the information you share about yourself, we may show you personalized offers on the bookingbility.com site, apps, or third-party sites/apps (including social media sites), and the content you view may be customized. These could be offers to book directly on the bookingbility.com site, or other offers or products from third parties that we think might interest you.

Responding to and managing your requests or those of the Accommodation you have booked. bookingbility.com offers guests and Accommodation various ways, directly through the bookingbility.com platform, to exchange information, requests, and comments about their offers and Accommodation Bookings. If you have not completed an online Accommodation Booking, we may contact you with an invitation to finish the booking. We believe this is an added useful service that allows you to continue with an Accommodation Booking without having to search for the Accommodation again or re-enter the booking data.

When you use our services, we may send you a questionnaire or invite you to provide a review of your experience with bookingbility.com or the Accommodation.

We also send you other material related to your Accommodation Bookings, such as information on how to contact bookingbility.com if you need help while traveling, or useful information that could help you organize and make the most of your Stay. We also send material about active Accommodation Bookings or a reminder of previous bookings made on bookingbility.com.

Even if you do not have active Accommodation Bookings, we may still need to send you other administrative messages, such as security alerts.

G. Market Research: Sometimes we ask our customers to take part in market research. Please review the information provided when you are invited to participate to understand which personal data is collected and how it is further used.

K. Promoting a Safe and Reliable Service: To create a trustworthy environment for you, your travel companions, bookingbility.com business partners, and Accommodation Providers, we use personal data to detect and prevent fraud and other illegal or unwanted activities. Similarly, we use personal data for risk and security analyses, including booking and user authentication. For these purposes, we may need to block or hold certain bookings until our analysis is complete.

H. Improving Our Services: We use personal data for analytical purposes to improve our services and enhance the user experience. The data may also be used for testing, troubleshooting, and improving the functionality and quality of our online booking services. The primary goal is to optimize and customize our online platform to your needs, making it easier and more pleasant to use. We commit to using pseudonymized data only for analytical purposes.

I. Guest Reviews and Other Information about Destinations: During and after your Stay booked with us, you might be invited to leave a review. We may also allow those traveling with you or for whom you booked to leave a review. This invitation requires information about the Accommodation or destination.

Account holders can choose to display a review with a username (of your choice, set in the account area) instead of the real name. Additionally, account holders can also choose to show the review anonymously. There's also an option to add an avatar. By completing a review, you agree to make it visible (as described in detail in our Terms and Conditions), for example, on the relevant Accommodation page on our site, on our social media profiles and apps, on the Accommodation’s or business partner's online platform. The aim is to inform other travelers about the quality of the booking and Stay service used, the destination you chose, or other experiences you decided to share.

J. Monitoring Phone Calls: When you call our customer service team, our operators may ask you to identify yourself to ensure your booking data remains confidential.

L. Legal Purposes: Finally, in some cases, we may need to use your information to manage and resolve legal disputes, government investigations, and compliance checks, enforce the terms of use of bookingbility.com’s online booking service, or comply with legitimate requests from public authorities.

Communicating personal data to bookingbility.com is voluntary. However, depending on the type of service you want to use, we may only be able to offer it if certain personal data is collected. For example, we cannot process your Accommodation Booking if we do not collect your name and contact details.

If we use automated means to process personal data that produce legal effects or significantly affect you, we will implement appropriate measures to safeguard your rights and freedoms, including the right to obtain human intervention.

Principles for Managing Your Personal Data

To manage your personal data as described above, we rely on the following principles:

For purposes A and B: bookingbility.com uses the legal basis of necessity to process personal data for the execution of the contract, specifically to finalize and manage your Accommodation Booking. If the necessary personal data is not provided, bookingbility.com cannot complete the Accommodation Booking and cannot provide customer service.

For purposes C to G: bookingbility.com relies on its legitimate business interest in providing its services, preventing fraud, and improving its services. When personal data is used for the legitimate interest of bookingbility.com or a third party, bookingbility.com will always balance your rights and interests for the protection of your personal data with the rights and interests of bookingbility.com or the third party.

For purpose H: bookingbility.com relies, where applicable, on compliance with its legal obligations (e.g., legitimate requests from public authorities).

Where required by applicable law, bookingbility.com will seek your consent before processing your personal data for direct marketing purposes.

How We Share Your Data with Third Parties

In some cases, we will share your personal data with third parties.

The Booked Accommodation: To complete the Accommodation Booking, we must transfer the relevant data you provided to the Accommodation you booked. Depending on the Accommodation Booking and the Accommodation, this may include your name, contact details, payment type, the names of the guests traveling with you, and any preferences or other information you indicated when making the Accommodation Booking. If you have any questions about your Stay, we may need to contact the Accommodation and ask them to handle your request. Even if payment is not made during the booking process via bookingbility.com, we will never provide your credit card details to the Accommodation (if requested during booking). If the Accommodation requests an advance payment or a penalty payment for the Accommodation Booking, it can make a specific request through its control panel. In this case, the Payment Manager's technological system will handle the monetary transaction, which will be deposited in an online bookingbility.com account and later transferred to the Accommodation. In case of disputes regarding the booking, we may need to provide the Accommodation with the necessary information about the booking process to handle the dispute, for example, a copy of your booking confirmation as proof of the Accommodation Booking.

Third-Party Services: We use service companies to manage your data on our behalf. This management serves various purposes, such as sending promotional material or validating the correctness of the email address you provided during the booking process. Third-party companies are bound by confidentiality agreements and are not authorized to use your personal data for purposes other than those communicated by bookingbility.com.

Payment Service Providers and Other Financial Institutions: When you or the cardholder used for the Accommodation Booking requests a chargeback for your booking, we will need to share some information about the booking with the payment service provider and the specific financial institution to handle the chargeback. For example, we may share a copy of your booking confirmation or the IP address used to make the booking. We may share information with the specific financial institution if we believe it is absolutely necessary for fraud detection and prevention purposes.

Competent Authorities: We share personal data with law enforcement when required by law or if absolutely necessary for the detection, prevention, or prosecution of fraud or crimes, or if we are otherwise required by law. We may need to share personal data with competent authorities to protect and defend our rights or property or the rights and property of our business partners.

Business Partners: We work with business partners who distribute or market bookingbility.com services.

When you book through one of our business partners, some of the data you provide, such as your name, email address, address, payment details, and other relevant information, will be shared with us to complete and manage your Accommodation Booking. How We Manage Communications Exchanged on the bookingbility.com Platform Between You and the Booked Accommodation

bookingbility.com may offer you and the Booked Accommodation various communication channels (available on bookingbility.com itself) regarding the existing Accommodation Booking. Through your profile area and other channels that we may make available, you and the Booked Accommodation can contact bookingbility.com to inquire about your Accommodation Booking.

bookingbility.com accesses the communications and uses automated systems to review, scan, and analyze the communications for security purposes, fraud prevention, compliance with legal and regulatory requirements, investigations into potential crimes, product development and improvement, research, customer engagement (e.g., providing you with information and offers we think may interest you), and customer or technical support. We reserve the right to block the delivery of communications or conduct checks if we deem it necessary at our discretion, for example, if we believe they may contain harmful content, spam, or any type of risk to you, the partner accommodations, bookingbility.com, or others. Remember that all communications sent or received through bookingbility.com tools will be received and stored by bookingbility.com. The business partners with whom you have booked and the Booked Accommodation may decide to communicate directly with you via email or other channels outside the control of bookingbility.com.


How We Use Mobile Devices

We offer versions of our site optimized for browsing via smartphones or tablets. These mobile sites handle the personal data you provide in the same way as the desktop website and also allow you to use location services that enable you to find the distance between your device and the Booked Accommodation. With your consent, you may also authorize our access to your location or contacts to provide you with the requested services. Please read your mobile device's instructions to change settings and enable the sharing of this data.

To optimize newsletter content, bookingbility.com combines the searches and bookings you make from different computers and devices. You can unsubscribe from the bookingbility.com newsletter at any time.

On other websites and apps, you may see personalized advertisements, including offers based on your activities on connected computers and devices. By changing the cookie settings on your device (see our Cookie Policy under "What can you choose"), you can change cross-device tracking settings for advertising purposes. Please note that logging out of your account does not mean you will no longer receive personalized advertisements.

We offer you the opportunity to access your bookingbility.com account through your social media account (Facebook), so you don't have to remember many usernames and passwords for different online services. After you log in for the first time, you can always use your social media account to log in to bookingbility.com. However, you can choose to unlink the two accounts at any time.

Other social media services and features. We may integrate other social media services (such as a messaging exchange system) to interact with bookingbility.com or your contacts regarding our services. We may also be present by managing social media accounts and offering apps on various social platforms. If you choose to connect to bookingbility.com via social media, your social media service provider may allow you to share information with bookingbility.com. If you opt to share, your provider usually informs you which information will be shared. For example, when you access your bookingbility.com account through your social media account, some information (based on the permissions you provided to your provider) may be shared with bookingbility.com. Among these, your email address, your age, or your profile picture as set in your user account.
